How Ringerike municipality collected 95% of O&M documentation before handover to operations

For Ringerike municipality, investing in digitalising their project execution was only half the equation. Project manager Trond Skogdal shares what actually made the difference when getting started with their first-ever CDE solution — as well as his top three pieces of advice for other project teams.

A growing municipality: Ringerike is investing in digital project development

Since 2015, Ringerike Municipality in Viken, with just over 30,000 inhabitants, has constructed buildings and infrastructure worth around NOK 2.5 billion – a major investment for any relatively small municipality. Among the projects that are now finalised, or about to be completed, are:

  • Two large school projects
  • A care center and residential care homes
  • Emergency services facilities
  • A new ambulance centre
  • A large amount of new infrastructure

For several of these projects, the municipality used Interaxo as a collaboration tool. Trond Skogdal, project manager for development, is clear on one thing: Interaxo has proven to be a valuable investment so far. Now, he shares his advice on the next steps towards smarter project execution:

1. Set aside enough time to learn and implement new routines

“My favourite thing about Interaxo is how it makes communication so much easier and more streamlined,” Trond says. “File sharing, co-editing documents and change order management, in particular, ensured a much clearer and tidier process than what we were used to.”

“Getting off to a good start is crucial in order to maximise the benefits of CDE solutions.”

2. Allow your team’s dedicated Interaxo advisor to guide you

Trond credits Tribia’s consulting team for a smooth onboarding experience, and encourages others to lean on their dedicated advisor when structuring the system for their project: “Every construction or infrastructure project is different, including their conditions and needs. This was our first time using a CDE solution, and now, we fully have a system and routines in place that have worked really well for us.”

“My recommendation is to prioritise setting aside some time with your consultant early on. Setting you up for success is what they’re here for. Because we learned how to use the tool properly from the very beginning, we certainly wish to keep using it in future projects,” Trond continues.

“We keep seeing that the customers who take the time to get off to a good start get the most out of using Interaxo. A good dialogue about your project’s needs and your team’s prerequisites makes it easier for us to tailor a good roadmap to reach your project’s goals. This is the recurring key to successful project execution.”

3. Collect and sort O&M documentation early on – don’t push it to the last minute

Once up and running with Interaxo, Trond and Ringerike Municipality saw the benefits first-hand — across every project phase, right through to handover.

“We’re about to complete a major residential care home project – and we collected about 95% of the operations and maintenance documentation (O&M) before handover. This is the first time we’ve ever been able to do anything like that so early on,” Trond shares, emphasising how stressful the process of collecting the required documentation usually is.

“Obviously, we’re very pleased with such results. For various reasons, we haven’t been able to get started as quickly with the collection process before. This really demonstrates the value of getting off to a good start – where the team sets aside the time they need to properly learn how to use the solution as intended. Becoming an expert user isn’t as hard as one might think, and you have everything to gain from it,” Trond concludes.
